Syncopay is a software-as-a-service product designed, operated, and wholly owned by How To Computer LLC, a Delaware Limited Liability Company. Throughout this Privacy Policy, the terms "Syncopay", "we", "us", and "our" legally refer to How To Computer LLC.
We are committed to protecting your privacy. This policy describes how we collect, use, and safeguard your information when you use our platform.
1Information We Collect
The information we collect depends on how you interact with Syncopay.
(a)Instructor Accounts. When you create an instructor account, we collect the information you provide (name, email address, business name) and information generated through your use of the platform (student rosters, invoice history, and payment records). Student details — including student names, parent/guardian names, and billing email addresses — are entered into our system by instructors.
(b)Parents & Guardians. For parents and guardians, we collect only the email address your instructor has provided and, during an optional onboarding step, your name and your preferred name for the student. Parents authenticate via one-time email links; we do not create password-based accounts for parents.
(c)Beta Applications & Support. If you submit a beta access request, we collect your name, email, instrument, teaching experience, studio type, and student count. If you submit a bug report, feedback, or contact form, we collect your name, email, and the message contents. Bug reports may also include a diagnostic snapshot of recent session interactions to help us reproduce the issue.
(d)Payment Information. We do not collect or store credit card numbers from any user — all payment processing is handled directly by Stripe under its own privacy policy.
(e)Automatically Collected Data. Our servers automatically collect certain technical data when you visit the platform, including your IP address, browser type, operating system, access timestamps, and referring URLs. IP addresses are also actively stored in our database on a temporary basis to enforce rate limiting, prevent brute-force login attempts, and protect the platform from abuse. This information is used for security monitoring, troubleshooting, and improving our services.
(f)Tokenized Invoice Links. Invoice URLs contain time-limited access tokens that allow the recipient to view invoice details and initiate payment without logging in. Anyone who possesses a specific invoice link can view the associated student name, instructor information, and billing amount. Users are responsible for keeping their invoice links private and should not share them publicly.
2How We Use Your Information
Your information is used to operate and improve Syncopay: generating invoices, sending payment reminders, displaying your dashboard, and providing customer support. We do not sell your data to third parties.
3Third-Party Services
We use trusted third-party services to help operate our platform, including but not limited to:
(a)Stripe. Processes all payments and stores payment method details under its own privacy policy.
(b)Supabase. Provides our database and authentication infrastructure under its own privacy policy.
(c)Vercel. Provides our hosting, compute infrastructure, and scheduled task execution under its own privacy policy.
(d)Resend. Handles transactional email delivery under its own privacy policy. Transactional emails may contain tracking mechanisms (such as open tracking or click tracking) used to monitor deliverability and ensure that invoices and login links are being received.
(e)Future Providers. We may engage additional service providers in the future. This policy applies to the data shared with any such providers.
4Data Storage & Security
Your data is stored in secured databases with row-level security policies, encrypted connections (TLS), and access controls. Instructor and parent data are logically separated: each instructor can only access their own students, invoices, and account data, and no instructor can view another instructor’s records. Parents and guardians can only view invoices and payment history associated with their own email address. Authorized Syncopay administrators have access to platform-wide user data — including instructor, student, and invoice records — strictly for the purposes of platform maintenance, customer support, and system troubleshooting. Administrative access is protected by multi-factor authentication. We follow industry best practices to protect your information from unauthorized access. While we use commercially reasonable safeguards, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security of your data.
5Data Retention & Deletion
We retain your account data for as long as your account is active. If an instructor chooses to delete their account, we immediately anonymize the instructor profile (removing names, contact info, and disabling charges). However, to maintain accurate financial audit trails and ensure parents retain access to their historical payment receipts via the Parent Portal, we preserve underlying student records, invoice histories, and revenue aggregates. You may request further data purging by contacting us at privacy@syncopay.app, subject to our legal and tax retention obligations.
6Cookies & Tracking
(a)Cookies. Syncopay uses essential cookies for authentication and session management only. We do not use advertising cookies or third-party tracking pixels. No data is shared with ad networks.
(b)First-Party Diagnostics. During the beta period, Syncopay may collect first-party diagnostic telemetry to help us identify bugs and improve the user experience. This may include interaction events (such as clicks and page navigations), network error logs, and session duration. This data is collected and stored on our own infrastructure — it is never shared with third-party analytics or advertising services. The diagnostic system is disabled by default and can only be enabled by an administrator. It may be removed after the beta period concludes.
7Children’s Privacy
Syncopay is a business tool designed strictly for use by adult music instructors and parents/guardians. We do not directly collect information from children under 13. Any student information (such as names) stored in our platform is provided by the instructor. By using Syncopay, instructors represent that they have the legal right and necessary permissions from parents/guardians to enter this student data into our system for billing purposes. If we learn a child under 13 has created an account directly, we will take steps to delete it promptly.
8Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. We will let you know via email and/or a prominent notice on our platform prior to the change becoming effective and update the effective date at the top of this Privacy Policy. You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.

10Legal Disclosures

11Business Transfers
In the event that Syncopay is involved in a merger, acquisition, reorganization, bankruptcy, or sale of assets, your personal information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our platform of any change in ownership or uses of your personal information.
12Your Data Rights
Depending on your location, you may have certain rights regarding your personal data. These may include the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your data, object to or restrict certain processing, and request portability of your data. California residents may have additional rights under the CCPA, and residents of the EU/UK may have additional rights under the GDPR. 13International Data Transfers
Syncopay is based in the United States. If you access our platform from outside the US, please be aware that your information may be transferred to, stored, and processed in the United States and other countries where our service providers operate. By using Syncopay, you consent to the transfer of your information to countries that may have different data protection laws than your country of residence.
